The purpose of this privacy statement is to inform you about the processing of your personal data by the Econopolis Group (hereinafter referred to as “Econopolis”), which includes the following companies:

These companies are jointly responsible for the processing of your personal data in connection with their activities.

Personal data is any information that allows you to be identified, directly or indirectly, as a natural person.

What data does Econopolis process?

Econopolis processes only data that is relevant to your relationship with Econopolis. “Processing” refers to all possible actions, such as: receiving, storing, editing, deleting, reading, sharing, etc.

As a general rule, Econopolis does not process special categories of personal data (such as religious beliefs, political opinions, ethnic origin, or medical information).

If you arenot a customer, Econopolis generally does not have your data on file, unless you enter it yourself in the contact center or on a registration form for one of our events or newsletters. In that case, Econopolis will only have your contact information (name and email address) and the anonymized statistics we collect during our email campaigns to determine whether our newsletters are opened by the recipients.

It is also possible that our existing customers or contacts may refer you to us because they believe you are interested in our services. If this is the case, we will inform you that we have your information on file. You may ask us at any time not to contact you further, in which case we will delete your information.

If you wish to establish aclient relationshipwith Econopolis, we are legally required to request certain information from you. This includes your personal identification information, contact details, family situation, knowledge of financial products, financial situation, and investment objectives.

Throughout the course of our business relationship, Econopolis also has access to the transaction data related to the account you have entrusted to us for management.

For what purpose and on what legal basis does Econopolis process my data?

If you enter into a contractual relationship with us, Econopolis will process your personal data primarily to enable you to use our services in compliance with regulations, as these services are subject to extensive financial laws and regulations.

Your personal data is processed to determine how we can best manage your assets, provide you with appropriate investment advice, or execute your orders.

We also bring a personal touch to our services: we’re happy to keep you informed about the latest developments in the economy and financial markets, invite you to our events, send you birthday wishes, and send you a Christmas card at the end of the year. To ensure that our events and newsletters are relevant to recipients, we use anonymized statistics to track whether our emails have been opened. Your data will only be processed for such purposes with your consent.

Under no circumstances will we sell your information to third parties.

With whom does Econopolis share your personal data?

As part of our contractual relationship with you, we engage third parties (such as the custodians of your securities) and are required to share your identification information with them so that they can open a bank account in your name and we can ensure that we provide you with adequate service.

We also use third-party cloud storage providers to store data, so that we can guarantee the security and continuity of our services and avoid reliance on a single physical storage location. In addition, certain data may be shared with a CRM system that we connect to our own IT network. These third parties comply with European privacy standards.

When organizing events, we work with specific event organizers to handle the practical arrangements and with advertising agencies to send out invitations. This is done only after we have received your explicit consent. These parties receive only the minimum information necessary to ensure the smooth running of these events and are bound by a contractual confidentiality obligation. If your data is transferred to other countries in this context, the necessary organizational and technical measures are contractually enforced to protect your data.

Since Econopolis provides regulated services, there is a possibility that the financial regulator (FSMA) may request information. In that case, Econopolis is required to provide this information.

In addition, judicial bodies, administrative authorities, and law enforcement agencies also have the ability to request data in connection with an investigation.

We remain responsible for your personal data and ensure that appropriate security measures are in place when your data is shared with third parties.

Finally, within the Econopolis Group, personal data may also be shared among group companies for internal management, reporting, and compliance purposes. This is done on the basis of legitimate interests or legal obligations, and always with due regard for appropriate technical and organizational measures.

What are your rights?

Your personal data still belongs to you, which is why you can exercise certain rights.

  • You may ask us at any time to review your customer file or any other information we may have about you, such as the information you provided to us through the contact center;
  • You may also ask us to correct your information if you notice that we have recorded an error;
  • You can have certain data deleted;
    • Please note that if we are legally or contractually required to retain certain data, we cannot delete it immediately.
  • You have the right to object to the processing of your data by Econopolis;
    • Since the vast majority of the data we process is subject to a legal obligation, we are not always able to respond immediately.
  • You have the right to ask us to transfer your data to you or a third party. However, you can only exercise this right with respect to data that we store digitally. Paper files are not included in this;
  • You may ask us to temporarily suspend the processing of your data if you suspect that we are processing your data without proper justification;
  • You may withdraw your consent to the processing of your data at any time if you previously provided it for a specific activity.

We will respond to your request within 30 calendar days and let you know to what extent we are able and authorized to comply with your request.

In any case, before we can process your request, we will verify your identity. We do this to prevent someone else from accessing your data on your behalf.

If you are not satisfied with the way Econopolis handles your data or complaints, you can always contact the data protection authority.

How long does Econopolis retain personal data?

Econopolis retains your data in your customer file only for as long as it is necessary and for as long as required by law.

We generally retain your customer file for several years after the customer relationship has ended, in accordance with financial and accounting regulations.

If you are not a customer and would like to unsubscribe from our newsletters and events, we will remove your information from our mailing list as soon as possible after receiving your message.
